The Challenge
Located in the central part of Victoria, Greater Bendigo is a major regional centre with a population of more than 110,000. The City of Greater Bendigo provides a wide range of services across a mix of urban areas and rural towns.
The City had previously adopted TechnologyOne’s Enterprise Content Management (ECM) SaaS solution to make it easier to capture and view business documents via mobile devices.
City of Greater Bendigo System Administrator, Michelle Stewart, said it became clear that enabling corporate meetings to be managed via its SaaS environment would further enhance the City’s processes.
“Our meeting secretary had to copy reports back and forth between our SaaS and on-premise environments to run the minutes process,” Stewart said.
“We needed to find a replacement that would streamline the process for end-users and make it simpler to create and view reports. We also wanted a product that didn’t rely on Microsoft Word styles and templates to do our agendas and minutes.”
The Solution
The City of Greater Bendigo became an early adopter of TechnologyOne’s DXP Meetings to streamline its meeting and minutes processes.
DXP offers a frictionless app experience that harnesses new technologies and leverages the power of enterprise software. It is available to SaaS customers from TechnologyOne’s 2020A release.
Designed to provide a modern meeting experience, DXP Meetings empowers anyone in an organisation to create, manage and record meetings, drastically reducing the administration burden.
With powerful workflow capabilities, the ability to plan, schedule and track meeting decisions is simplified and can be done on any device, anywhere, at any time.
“DXP Meetings is integrated with our ECM system, which gives us that single source of truth and allows us to meet our record-keeping requirements,” Stewart said.
“The app provides a simplified and structured process for creating reports, agendas and minutes, and a platform for developing and following up meeting actions.”
Having successfully piloted the app as part of TechnologyOne’s early adopter program, the City now plans to deploy it organisation-wide.
“Being a TechnologyOne partner for the last 17 years, it was appealing to work closely with TechnologyOne and contribute to shaping the new DXP interface,” Stewart added.
“When we go live, the whole organisation will have access to DXP Meetings, from the CEO to those writing the reports.”

The Outcome
By leveraging the power of TechnologyOne’s SaaS ERP solution through DXP Meetings, the City has quickly gained end-to-end control of meeting processes.
“Initial indications show it will be simpler to create a report and easier to generate agendas and minutes,” Stewart said.
“We will also have a controlled process for allocating and tracking meeting actions.
“With a new Council being appointed in November, DXP gives us the ability to introduce a better way of distributing documents to Councillors.”
Stewart said the app was feature-rich yet user-friendly.
“The form-like approach to creating a report makes it easy to follow and understand the requirements,” she said.
“It’s also great to be able to export the agendas and minutes as public-facing documents.
“We’re looking forward to providing all employees with intuitive consumer technology at work for improved productivity and collaboration.”
